The description:

Perform inventory management responsibilities, including ordering, receiving, and distributing medical and non-medical supplies and equipment for the department. Coordinates repair of equipment and instruments and tracks inventory and equipment sent out of service. Purchases items, materials or services of a non-technical, technical or specialized nature specifically intended for use in surgery. Monitors the status of out-of-stock items. Notifies appropriate personnel and researches possible substitute products. Negotiates and collaborates with suppliers, internal customers and departments.

Core Responsibilities:

· Coordinates with the Director of Surgical Specialties to ensure proper inventory levels are maintained at all times. Keeps management informed of issues and takes constructive corrective action.

· Gathers, calculates, compiles, codes and reports data and information for a variety of purchase orders and routine special or statistical reports or studies. Provides information, projections and recommendations for standardization of purchases, quality, quantities or equivalence.

· Performs cycle counting by counting and checking inventory stock.

· Resolves daily discrepancies on medical supply orders. Requests approval for over-shipments to save the cost of returning items. Contacts suppliers regarding return for credit. Contacts suppliers regarding current purchase orders. Notify staff of status. Sources replace items as needed immediately by the requesting service.

· Receives and verifies the accuracy of orders received. Enter information into the database for the receiving department and provide instructions for finalizing transactions. Inspects items for visible damage. Returns incomplete, incorrect or damaged orders. Follow up with supplier to ensure returned items are replaced.

· Distribute items as appropriate. Follows up and expedites activities necessary to ensure proper delivery schedules.

· Receives and stores equipment deemed recyclable/reusable for future use. Enter equipment and layout data into the computer. Distribute as requested.

· Modifies requisitions and confers with requesting surgical specialty regarding requirements, specifications, quantity and quality of merchandise and delivery schedules. Places orders with wholesaler/vendor and/or sales representative.

· Negotiates with suppliers adjustments involving the replacement of supplies that do not meet purchase specifications, the return of supplies declared surplus, expired, withdrawn or static and ensures that appropriate credit is received.

· Works directly with vendors, requesting departments and accounts payable to resolve issues related to vendor billing report, duplicate billing, under-delivery, over-invoicing and unlisted merchandise. Request proof of delivery documents. Enters correct information and adjustments into database for balancing. Contacts Accounts Payable to adjust orders for re-voucher.

· Expedites daily calls for rush orders of out-of-stock medical supplies. Notify staff of status. Complete non-stock requisitions and credit cards with complete information. Fill out urgent flyers so that the warehouse receives them by a specific date. Accepts urgent stock orders from staff and enters information into database.

· Solicits and reviews quotes for new, in-stock, and non-standard items and ensures that purchases comply with government regulations, accepted business practices, and standards of medical care acceptable for the department or ordering unit.

· Relieves other buyers of service responsibilities as needed.

Basic qualities:

Education

· High school diploma or GED.

Additional requirements:

· Demonstrated knowledge and skill in oral communication, customer service, multitasking (ordering, checking, resolving dailies), decision making, influencing (negotiation), problem solving (analysis), teamwork and written communication.

· Demonstrated knowledge and skill in PC word processing, spreadsheet and database applications.

Preferred qualifications:

· Minimum of two (2) years of experience in inventory management or related experience.

· Experience in hospital inventory management.

· Specific training in hospital inventory management or supply management.

· Demonstrated knowledge of medical terminology.
